estimated to reach 680 million dollars with an increase of 57 percent
year over year. Hey guys, this is Dikshita and welcome to Intellipaat’s video on
Robotic Process Automation. Our agenda for the day is, why do we need Robotic
Process Automation? What is Robotic Process Automation? The different RPA
tools. Introduction to Automation Anywhere. A small demo to understand
how automation anywhere works and a small Quiz to end our session with.
First of all, why do we need Robotic Process Automation?
It helps businesses automate tasks with less human intervention saving human
resources and time improving their overall productivity in turn.
Let me explain what are meant by this with the help of an example.
Let us consider an instance where a person has to claim his medical
insurance. He has to first go to the hospital and submit the documents. The
hospital then since these documents to the insurance company to check if this
person is eligible to receive its insurance money.
Now before RPA came into existence, most of this work was done manually. The first
step was an employee manually attaches the claim form to the claim processing
system, then a manual search has to be done to check if this person requesting
the claim is a customer in the claim processing system. Another person has to
manually copy and paste the clean firm data into standard fields in the claim
processing system. Finally, the person who claimed the insurance is notified
through an email which is also sent manually that the claim is being
processed. That’s a lot of man work right. Now how can we replace this with
Robotic Process Automation and make things easier for us, let’s see. In case
of Robotic Process Automation, RPA automatically opens the email
application and file which contains the claims form data. RPA then copies the
fields from the form and pastes them into web based health insurance claim
document management system while attaching
the actual form also automatically. RPA then searches the claims processing
system to validate that the claim submitter is its customer by copying
the name from the invoice and searching in the claims processing system. RPA
then attaches the invoice to the claims processing system also automatically.
Finally, the RPA sends the claim to the back office for approval while creating
automatic email for the customer and notifying that the claim is being
processed. Clearly, one single system replaces the manual work done by three
or four employees and all this is done by just a few simple commands. Now that
we know, why we need Robotic Process Automation, let’s see what exactly RPA
is? Let me explain this by breaking it down for you. Robotic is a machine which
mimics human actions. Process – a step by step sequence which can complete a task.
Automation – without having any human intervention. Putting all this together,
we can see mimicking human actions to perform a sequence of steps without any
human intervention is known as Robotic Process Automation. RPA in itself is not a
tool or a programming language, it is a technology and we need different RPA
tools to automate tasks that uses this technology. The three major tools which
are used globally are UiPath, blueprism and Automation Anywhere. In this video, I
will introduce to you one of the best RPA tools which is Automation Anywhere.
Automation Anywhere came into existence in the year 2003. It has a community
edition which is a completely free platform used by small-scale industries
and students to automate small simple tasks. It has the drag-and-drop and macro
recording features. It is one of the best RPA providers that offers the most powerful
and user-friendly interface to automate end-to-end business operations for an
organization. It also provides its users with flexible,
scalable and most importantly secure services for solving complex issues. The
main component of Automation Anywhere architecture are the control room,
bot creator, bot runner and the bots farm. Control room is called the heartbeat of
Automation Anywhere enterprise. Control room is a web-based application or a
server which controls the Automation Anywhere bots. Control room deals with the
code for the bots which makes sharing of codes easy across different systems.
Control room also has a dashboard feature that has all the bot analytics
and it keeps track of the status of all these bots. It also provides licensing
management with purchased licenses are configured. Bot creator is the desktop
based application which is used by the developer to build the bots. Now on
configuration of these bots, the developers can create individual bots
and execute them all at the same time. After successful authentication, the code
for these bots can be added or even updated in the control room.
Bot runners are the machines where the bots are run. They cannot create or add
an update to the automation. Multiple bots can be executed all at the same
time. The bots also intimate the control room regarding the completed or field
status of tasks. Bot farm provides RPA as service through Automation Anywhere
enterprise. Let me explain this with an instance. Sometimes during heavy
workloads, the bot runners need more servers than what is provided. During
these situations, the servers can be borrowed from the bot farm for the
required amount of time and it will be returned back to the bot farm once the
work is completed. This saves the developers from wasteful expenses on
servers which might not be used otherwise. To summarize all of this,
here’s a simple representation of the architecture of Automation Anywhere. The
developer builds the bots in the bot creator while the control rooms feature
has all the bot analytics and it keeps track of the status of each in
every bot and all these bots are run in the bot runner. The bot farm lets the port
run a bot of the servers as and when needed. To understand how Automation
Anywhere works, let’s do a small hands-on demo
on email automation. Let’s say, a company is hiring candidate and has conducted an
aptitude test as the first round they want to send an email to the candidate
that they have been selected to the next interview round if their aptitude score
has met their cutoff value. So this is what we are gonna do in our hands-on
today. Fill in an excel sheet with three columns the candidates name, candidates
aptitude score and the candidates email ID alongside. We’re gonna set a cut-off
value for the aptitude score. Now we’re gonna compare this cutoff value with
each candidates aptitude score that is already filled-in in the excel sheet. If
the candidate’s aptitude score is greater than the cutoff value then we have to
send an email to the candidate that they have been selected to the next interview
round. So let’s get started with our demo. So this is what we’re gonna do in our
hands-on demo. I have an excellent spreadsheet with candidates’ name, aptitude score and the email ID. So we want want an automatic email to be sent to that
candidate whose aptitude score is greater than the cutoff value that we’ve
set. Let’s say, we set our fixed value as greater than 90, so only candidate five
has a aptitude score greater than 90. So only he will be receiving an email
saying that he is selected to the next interview round. Let’s see, how we can do
this. So let’s open our Automation Anywhere web application, click on new workbench
to start a new task. So there’s a new task. We have on the left hand side, we
have all the commands that we need to perform different operations. So our
first step is to open this excel spreadsheet. So we have all the options
under excel here. We have to drag and drop open spreadsheet. You can change the
session name to whatever name that you want. I’m going to keep it at default. The
next step is putting in the spreadsheet path.
So, let’s copy and paste our spreadsheet path and specific sheet name. So, in our excel
spreadsheet, I’m working on sheet 1, so I’m gonna type in sheet 1 here and save
it. The next step is to activate this sheet 1. So drag and drop sheet. Activate
sheet, sheet by name. So that when sheet 1 and the session name will remain at default, I did not change it. So session name is default and now we
need to get all the cells in our sheet 1. So drag and drop Get cells, get
all the cells and save it. Now we have, let’s start a loop. So what we want is
for the loop to go through every aptitude score every single row and
compare it with whatever value we give. So our loop is here. Since every
row should be considered we drag and drop each row in an excel dataset
and save it. So our volume in our loop has started inside a loop we have to put
into his condition say if dome aptitude score is greater
than a fixed value say 19 then the candidate receives an email so let me
here is a if condition if the wearable
I clicked on variable because our column tool which has the name aptitude school
is a variable it has different – aptitude value values it’s not a fixed
value seventy five forty fifty sixty seven and ninety so edit click on in
variable click on f2 and select X is called Nikki’s that’s
the column you want to consider so our aptitude or school is the second
column so we can click type in two so if our aptitude school which is the second
column is greater than so great oh damn a fixed value which is
19 then let’s display a message saying that
an email has to be sent send email we can also set our timer say
for five seconds the message box should be open and it closes automatically
after that so send email and we actually need to
send an email so we drag-and-drop send email are from address will be
whatever apt is that you give and a to actress is not a constant
because um this is not here I have given the same email address with all the
candidates but that’s not the case otherwise so which is why it’s usually a
variable so let’s keep it as variable itself hey Stu
and exhale : inside and our candidates email ID is in the third column so we’re
gonna change this to three we can change anything the subject to same interview 1
and the text show also tasks me Automation and whatever description you
can even change this and save it the should come after the message box so if
the criteria is met then send an email else let’s just display our message box
saying that we don’t have to send a candidate anything else message box Oh PU and yeah let’s let it automatically
flows after five seconds or you can change the number of seconds
so we are done if condition is closed the loop is also closed so let’s save
this as email confirmation save it so we have to go back to this
window home window and click on tools and options so here we get all the
options but the login settings will automatically be put in let’s go to
email settings and you have to put in the host name the both number and if
your server uses secure connection and if it requires authentication so this is
the this password is nothing but your email password let me type in
of life you can include a Cogan message at the end of email if you want and
click OK so let’s go back to this task and run it
so we’ve started don’t send an email is it 75 and it’s closing in five seconds
or I can just click it our last candidate five has greater than
90 so it says send email so if it’s successful it’s gonna send an
email so our automation is completed and yeah
I open my email and here it is interview one word subject interview one email
automation so we’ve received our email so this is just a small example as to
how with RP we can save a tremendous amount of time and work I hope you found
